Privacy Policy

1. Who this policy covers

“Stafflow,” “we,” and “us” mean the team operating Stafflow as a product of OptimyzeBZ in Belize. This policy covers the public website at stafflow.bz and our HR platform at app.stafflow.bz. A separate written customer agreement may add more specific data-handling terms.

For employee records entered by a customer organization, the organization decides what to collect, who can access it, and how it is used for its employment purposes. We handle that information to provide and support Stafflow on the organization’s behalf. If your employer uses Stafflow, ask your employer about the information it holds about you; we can help route requests to the appropriate organization.

2. Information we handle

The information depends on how you use Stafflow. It may include:

• Contact inquiries: your name, work email, organization, optional phone number, team size, area of interest, and message when you submit the marketing contact form or email us.
• Platform accounts and customer content: account and organization details, user roles, employee records, attendance, schedules, leave, payroll, documents, signatures, recruitment information, and other information a customer enters or uploads.
• Technical information: IP address, browser and device information, page requests, sign-in and activity records, and security or diagnostic events needed to operate and protect the website and platform.
• Communications: messages and support details you send us, including the information needed to respond to a request.

3. How we use information

• Provide the website, calculators, HR platform, customer support, and requested demonstrations.
• Operate customer-selected workforce workflows and make information available to the customer’s authorized users.
• Respond to inquiries, service messages, and account or security issues.
• Maintain, troubleshoot, and protect our services; prevent misuse; and meet applicable legal obligations.
• Send product or marketing updates when you have requested them or when otherwise permitted, with a way to opt out.

4. When information is shared

We do not sell personal information. We may share it with hosting, email-delivery, support, payment, and other service providers that help operate Stafflow, subject to appropriate obligations; with a customer organization and its authorized users as directed by that organization; or when required by law or necessary to protect rights and security.

If the business changes ownership, information may be transferred as part of that transaction, subject to applicable safeguards. Links to third-party services, including WhatsApp, open those services under their own privacy terms.

5. Processing outside Belize

Stafflow uses cloud and communications providers, so information may be stored or processed outside Belize. We take reasonable steps to protect information when it is handled by providers or across borders, consistent with applicable agreements and law.

6. Security

We use technical and organizational measures intended to protect information, including access controls and encrypted connections. No online service can promise absolute security. Customer administrators are responsible for choosing authorized users, assigning appropriate roles, and protecting their credentials.

7. Retention

We keep information for as long as needed to provide the service, maintain security and records, resolve disputes, or satisfy applicable legal obligations. The period depends on the type of information and the customer relationship. Customer organizations may have their own retention requirements for employment and payroll records. Requests to remove information are reviewed against those requirements and any applicable customer agreement.

8. Your choices and requests

You may ask about information we control, request a correction, or request deletion where applicable. We may need to verify your identity and may retain information when law or a legitimate operational need requires it. If your request concerns records held by your employer in Stafflow, contact the employer first so it can direct the request; we will assist as appropriate.

You can opt out of marketing messages using the instructions in a message or by contacting us. Service and security notices may still be sent when needed to operate an account.

9. Cookies and browser storage

The marketing site uses browser storage to remember whether you dismissed its privacy notice and whether the cinematic introduction has played in the current session. The platform may use cookies or similar storage for sign-in, security, and preferences. Servers and embedded resources, such as web fonts, may also receive technical request information. You can manage browser storage through your browser settings, although clearing it may reset preferences or sign you out.

The marketing site does not currently load advertising pixels or optional analytics scripts. If that changes, we will update this policy and the relevant controls before using them.

10. Children

The public website and accounts are intended for business use, not for children to register independently. A customer may include dependent or family information in an employee record where it is authorized to do so; that customer is responsible for deciding whether and why to enter it.

11. Changes and contact

We may update this policy as our services or practices change. We will post the revised version here and update the date above. For a material change affecting existing customer information, we will take reasonable steps to notify the affected customers through an appropriate channel.
