Onboarding checklist

  • Record the employee’s legal name, address and contact details.
  • Capture the correct TIN and Social Security number where applicable.
  • Document start date, position, pay terms and agreed deductions.
  • Set the correct pay frequency and payroll status before the first payroll run.

Every payroll run

  • Review time, attendance, overtime and approved leave that affects pay.
  • Calculate gross earnings consistently.
  • Apply current PAYE treatment and the correct SSB wage band.
  • Review unusual deductions or one-off payments before finalizing payroll.
  • Issue a clear payslip and retain the payroll calculation record.

Monthly compliance

SSB states that contribution payments and the monthly Contribution Statement are due by the 14th day of the following month. For tax obligations, employers should use the current Belize Tax Service and IRIS Belize instructions for filing and payment dates applicable to their account.

Annual and periodic review

  • Check for changes to income-tax thresholds, deductions or credits.
  • Check for changes to SSB wage bands, contribution amounts or due dates.
  • Reconcile employee records and statutory reports.
  • Review payroll permissions, approvals and access to sensitive employee information.

Why spreadsheets become risky

A spreadsheet can calculate numbers, but it does not automatically prove that the rates, wage bands, employee data and approvals were current at the time payroll was processed. A controlled payroll workflow reduces the risk of stale formulas and missing records.
